What the Zoom integration does

Tune & Tonic is a place for teachers to turn recorded music lessons into lesson records their students can use. Many lessons happen on Zoom, so a teacher can connect their Zoom account once, and every lesson they record to the Zoom cloud arrives in Tune & Tonic on its own, with its transcript, ready to become a lesson.

The integration is for teachers. Students never connect Zoom; they see the finished lesson their teacher publishes.

Connecting asks Zoom for three permissions and nothing wider:

  • cloud_recording:read:list_user_recordings — to list the files in a recording you made.
  • cloud_recording:read:recording — to download the video and the transcript of that recording.
  • user:read:user — to read your Zoom user id and email, so the Integrations page can show which account is connected.

We never join meetings, never schedule them, never see meetings you do not host, and never write anything to your Zoom account. Nothing runs inside the Zoom client. Recordings stay in your own Zoom cloud storage: attaching or dismissing a recording in Tune & Tonic never deletes it from Zoom. The privacy policy says how the copy we keep is stored and protected.

Before you start

The integration can only see what Zoom records to the cloud, so three settings in Zoom have to be on. Open Zoom’s recording settings in your browser and check each one:

  1. Cloud recording — on. Under it, keep Record active speaker with shared screen ticked; that is the video view Tune & Tonic prefers.
  2. Audio transcript — on. It is under Advanced cloud recording settings. This is what produces the transcript. Without it a recording still arrives, but with no transcript, and you can add one in the lesson composer instead.
  3. Record to the cloud for each lesson — either press Record → Record to the cloud in the meeting, or turn on Automatic recording → Record in the cloud on the same settings page so every meeting you host is recorded.

Local recordings (saved to your computer) never reach Zoom’s cloud, so they never reach Tune & Tonic. For those, upload the file to the lesson by hand.

If your Zoom account is managed by a school or company, an administrator may have locked these settings. Ask them to allow cloud recording and audio transcript for your user.

Adding Zoom

  1. Sign in to Tune & Tonic at learn.tunetonic.app as a teacher.
  2. Open Settings → Integrations. The Zoom card reads Not connected and lists the three settings above.
  3. Press Connect Zoom. Your browser goes to Zoom.
  4. Sign in to Zoom if it asks, review the permissions, and press Allow. Use the Zoom account you host lessons from; only meetings that account hosts will arrive.
  5. Zoom sends you back to Settings → Integrations. A Zoom connected message appears and the card now reads Connected as your Zoom email, with Last recording and how many recordings are waiting.

If you land back on the page with Could not connect Zoom, press Connect Zoom again. If it fails a second time, contact support.

Using Zoom

Nothing changes about how you teach. Hold the lesson on Zoom as usual and record it to the cloud.

  1. In the meeting, press Record → Record to the cloud (or let automatic recording do it).
  2. End the meeting. Zoom processes the recording, then tells Tune & Tonic. The recording arrives in Recordings (in the navigation, next to Classes and Students) a few minutes after the meeting ends, and your home page shows it too.
  3. Each row shows the day, time and length, the transcript state (Transcript pending, Transcript ready or No transcript), and which class and scheduled lesson it matched. A recording under five minutes shows a Short pill so test meetings are easy to spot.
  4. Open a row. The Create lesson from recording dialog prefills the class and the scheduled lesson from the match; change either if it guessed wrong, or choose Create a class instead if the class does not exist yet.
  5. Press Create lesson. The lesson opens in the composer with the video and, when it has arrived, the transcript already attached. From here it is an ordinary lesson: review, edit and publish.

A recording that is not a lesson — a test, a meeting with a colleague — is closed with Dismiss in the same dialog. Dismiss removes our copy and leaves the recording in Zoom untouched.

Some things to know:

  • The transcript usually arrives a little after the video, so a row can say Transcript pending for a while. After an hour without one it reads No transcript; attach the video anyway and add a transcript in the composer if you have one.
  • Only meetings you host arrive. A lesson hosted from a student’s account records to the student’s cloud, and Tune & Tonic never sees it.
  • A recording that is never attached is removed from Tune & Tonic after 30 days. It stays in your Zoom cloud.
  • Videos over 2 GB are not downloaded; the row shows the failure. Trim the recording in Zoom, or upload it to the lesson by hand.

Removing Zoom

You can disconnect at any time, from either side.

From Tune & Tonic

  1. Open Settings → Integrations.
  2. Press Disconnect on the Zoom card.
  3. Confirm with Disconnect Zoom.

Tune & Tonic revokes its access with Zoom and forgets the token. Nothing new arrives after this. Recordings already waiting stay in Recordings, lessons you already made keep their video and transcript, and you can connect again at any time.

From Zoom

  1. Go to Zoom’s installed apps and sign in.
  2. Find Tune & Tonic and press Remove.

Zoom invalidates our access right away. The Zoom card in Tune & Tonic still reads Connected until you press Disconnect there too, which is the tidy way to finish.

What is kept, what is removed

Removing the app on either side stops new recordings. It does not delete anything in your Zoom account, and it does not delete lessons you have already published; those are yours, made from your recordings. To have every copy we hold removed, including waiting recordings and lesson videos, ask us to delete your account, as the privacy policy describes; it says what is removed and how quickly.

Troubleshooting

  • Nothing arrives after a lesson. Check the three settings in Before you start: the meeting must be recorded to the cloud, from the Zoom account you connected, by you as host. Then give Zoom a few minutes to finish processing; long recordings take longer.
  • The recording arrived with No transcript. Audio transcript was off in Zoom for that meeting. Switch it on for next time, and upload a transcript to this lesson in the composer if you have one.
  • The card says Connected but recordings stopped. The app was removed on Zoom’s side, or Zoom’s access expired. Press Disconnect, then Connect Zoom again.
  • Could not connect Zoom. Try again. If it keeps failing, note the time and contact support.
